The brief

We have been been working with with this client since 1994, producing their monthly Pension Review Packs and procuring a limited range of business stationery. We were invited to tender for a total print management contract, in order to achieve cost savings and improve efficiency.

The solution

On appointment, we established an account team of four personnel and an integration process, which included taking over responsibility for the client's warehouse in Southampton.

With this team in place, the first task was to complete a cost comparison across the total print spend for the previous year. This exercise identified savings of around 25% through improved buying and process/staff rationalisation within the warehouse operation.

A fully bespoke online quoting and ordering system was introduced to meet the client’s exact requirements.

This interactive system significantly reduced the processing time for all quote requests and orders and was designed to provide better control of stock levels including management information on stock status, stock call-off and stock ordering. The system is now used by over 100 personnel throughout the organisation and allows on-line access to over 900 printed product lines plus the ability to view items via a literature library prior to ordering.

A centralised artwork unit has also been set up to receive all artwork from the client and their appointed agencies. This allows the account team to manage all the proofing and amends, whilst all information is archived in a secure area.
